PURPOSE

Your privacy is important to us. It is E4 Recruitment’s policy to respect your privacy regarding any information we may collect from you across our website, http://e4recruitment.com.au. This Policy also applies to Personal Information collected by E4 Recruitment in connection with social media accounts, any other platforms, as well as in connection with any direct communication between you and E4 Recruitment.

 

We have a legal obligation to abide by the provisions of the Privacy Act 1988 (Cth) (the Act). The rules that an organisation must follow under the Act are known as the Australian Privacy Principles, and cover areas including the collection, use, disclosure, quality and security of personal information.

 

SCOPE

This policy applies to all people employed throughout the organisation.

 

What personal information do we collect and hold?

When used in this privacy policy, the term ‘personal information’ has the meaning given to it in the Act. In general terms, it is any information that can be used to personally identify you. If the information we collect personally identifies you, or you are reasonably identifiable from it, the information will be considered personal information. Our privacy policy covers all people who use our services or otherwise provide their personal information to us.

 

The types of information we may collect includes:

·      Personal information including your name, address and telephone number, your age or date of birth, Nationality and Contact information

·      Employment information such as employment history or referee details to provide us background checks

·      Financial information including bank details, tax and superannuation forms.

 

We may also request proof of identification from you including certified original copies of your passport, visa and or driver’s license and will only do so to for the proper performance of our functions and activities as a recruitment agency.

 

How and why do we collect your personal information?

We collect your personal information directly from you when you deal with us or via our online platforms.

 

We may also collect personal information from third parties including information provided on your behalf with your consent.

 

We may also collect personal information about you from a range of publicly available sources including directories, the Internet and social media sites. We collect personal information about you from publicly available sources for inclusion in our records only as is reasonably necessary for the proper performance of our functions and activities as a recruitment agency, and this information is managed in accordance with our Privacy Policy.

 

We collect your personal information for the following purposes:

·      so that we can provide your services

·      to advertise on behalf of our clients

·      to communicate with you

·      for administrative and billing purposes

·      to provide you with information and advice

·      to process and respond to any complaint made by you or about you in the workplace we receive any information about any insurance investigation, registration or professional disciplinary matter, criminal matter, inquest or other investigations in which you are involved.

 

Your personal information will not be shared, sold or disclosed other than for the purpose for which it was collected other than with the individual’s permission.

 

How is your personal information held?

We may hold your personal information in either electronic or hard copy form, until it is no longer needed for any purpose for which it may be used or disclosed at which time it will be de-identified or destroyed, provided that it is lawful for us to do so. If you provide information to us electronically, we retain this information in our computer systems and databases.

 

We only retain collected information for as long as necessary to provide you with your requested service. What data we store, we’ll protect within commercially acceptable means to prevent loss and theft, as well as unauthorised access, disclosure, use or modification. We collect it by fair and lawful means, with your knowledge and consent. We also let you know why we’re collecting it and how it will be used. You are free to refuse our request for your personal information, with the understanding that we may be unable to provide you with some of your desired services.

 

We use industry standard security measures to safeguard and protect your information from;

If you suspect misuse or loss of, or unauthorised access to their Personal Information, you should let us know immediately. We are not liable for any loss, damage or claim arising out of another person’s use of the Personal Information where we were authorised to provide that person with the Personal Information.

 

Our employees are obliged to respect the confidentiality of any personal information held by us.

 

We also maintain physical security procedures to manage and protect the use and storage of records containing personal information.

 

how long is your personal information held

We retain your personal information for a period of 7 years after the last interaction, or as required by law. After this period, we will de-identify or securely destroy your information in a manner compliant with applicable regulations.

 

OBLIGATIONS

Should you become aware that yours, or any other individual’s Personal Information has been breached or there is unauthorised access of the Personal Information, you must notify a Director immediately. Any failure to comply with this may result in disciplinary action.

 

To whom may we disclose your information to?

We may disclose your personal information for any of the purposes for which it is primarily held or for a related purpose where lawfully permitted, including circumstances where we are under a contractual duty to disclose information.

Disclosure may be:

  • internally to colleagues working in similar sectors
  • to our Clients
  • to Referees for suitability and screening purposes

How can you access and correct your personal information?

You may request access to any personal information we hold about you at any time by contacting us. Where we hold information that you are entitled to access, we will try to provide you with suitable means of accessing it (for example, by emailing it to you or sending via post).

 

There may be instances where we cannot grant you access to the personal information we hold however; we will only do so in accordance with our rights and obligations under the Act. For example, we may need to refuse access if granting access would interfere with the privacy of others or if it would result in a breach of confidentiality. If that happens, we will give you written reasons for any refusal.

 

If you believe that personal information, we hold about you is incorrect, incomplete or inaccurate, then please request us to amend it, including the basis on which you are requesting the amendment. We will consider if the information requires amendment. If we do not agree that there are grounds for amendment, then we will give you written reasons for refusal and add a note to the personal information stating that you disagree with it.

 

Direct marketing materials

We may send you direct marketing communications and information about our products and services that we consider may be of interest to you. These communications may be sent in various forms, including SMS, email or via post. If, in your dealings with us, you indicate a preference for a method of communication, we will endeavour to use that method whenever practical to do so. When you receive marketing related e-mails from us, you have the option to request that your contact details be removed from the distribution email list for similar, future direct marketing campaigns and we will then ensure that your name is removed from our mailing list. Please note; this may prevent us from offering them some or all of our services.

If you are making a complaint about our handling of your personal information, it should first be made to us in writing. You can make complaints about our handling of your personal information to our Operations Manager at hello@e4recruitment.com.au. We are committed to resolving privacy-related complaints promptly and professionally.

 

If you have a dispute regarding an individual’s Personal Information, we both must first attempt to resolve the issue directly between us. If we become aware of any unauthorised access to an individual’s Personal Information, we will inform them and any supervisory authority as required, at the earliest practical opportunity once we have established what was accessed and how it was accessed.

 

If the complaint cannot be resolved by means that we propose in our response, we will suggest that you take your complaint to any recognised external dispute resolution scheme to which we belong or to the Office of the Australian Information Commissioner.

 

This Privacy Policy is subject to applicable laws and regulations. In case of any conflicts, disputes will be resolved in accordance with the laws governing your jurisdiction.

We may change this privacy policy from time to time as legislation, our business or technology advances. Any updated versions of this privacy policy will be posted on our website.

This policy will be regularly reviewed by E4 Recruitment and any necessary changes will be implemented by the Directors.
